Privacy Policy

Your privacy matters to us. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. We’ve tried to keep it plain and honest.
It applies to equipecoaching.com.au and equipecoaching.com (“our websites”), our courses, our coaching, and our emails. We are Equipe Coaching & Counselling Pty Ltd (ABN 59 657 410 627), trading as Equipe Coaching (“we”, “us”), based on the Sunshine Coast, Queensland. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. What we collect
What you give us
- Contact and booking details: your name, email address and phone number, and the details you enter when booking with Calendly or emailing us.
- Coaching information: what you share in sessions, our session notes, and any forms or exercises you complete for coaching.
- Course information: your Thinkific account details, course progress, and any responses you submit in the course.
- Payment information: payments are processed by Stripe or PayPal (courses), or by bank transfer from an invoice (coaching sessions). We don’t see or store your card details. We keep your name, what you bought, and the invoice and payment record.
- Messages and feedback: emails and messages you send us, and any testimonial you choose to give.
What we collect automatically
- Device and browser details, approximate location, the pages you visit, how you interact with our websites, and where you came from.
- This is collected through cookies, pixels and similar tools. See section 6.
Sensitive information
Coaching conversations can touch on personal matters such as your relationships, faith, wellbeing and life circumstances. We collect this only if you choose to share it and it is reasonably needed for your coaching, and we treat it with extra care. Equipe Coaching provides coaching, not counselling or therapy.
2. How we use it
- To deliver your course or coaching, and to book, remind and invoice you.
- To keep records of our work together.
- To reply to your questions and send you what you’ve asked for, such as the Purpose Clarity Guide emails.
- To send you emails about our courses and coaching, if you’ve signed up or agreed to receive them. You can unsubscribe at any time.
- To understand how our websites are used and to measure and improve our advertising.
- To meet our legal and tax obligations.
- For Rick’s own coach training, but only with your separate permission. See section 3.
We don’t sell your personal information.
3. Coaching sessions and recordings
- Permission first. We record a session only if you agree, and we ask each time. Recording can be by Microsoft Teams, Zoom or phone.
- Why we record. Recordings help Rick give you his full attention in the session and, if you agree, review the work afterwards.
- Training use is separate. Rick may ask to use a session for his own coach training, with a mentor, supervisor or training provider. This is a separate permission from agreeing to the recording. If you agree, your name is replaced by initials or a pseudonym, and we prefer to use a written, de-identified transcript. Because a voice can identify a person even without a name, we’ll only share actual audio if we’ve told you so and you’ve agreed to that specifically.
- AI tools. We may use AI transcription or summary tools on a recording or transcript. We tell you before this happens. See section 4.
- You can say no. Declining a recording, AI processing or training use doesn’t affect your coaching.
- How long we keep recordings. Standard recordings are kept for up to 24 months, then deleted. We’ll delete a recording sooner if you ask, where we’re able to. In rare cases, such as a complaint or dispute, we may need to keep something longer.
- Where they’re stored. Recordings are stored on Microsoft OneDrive and/or Rick’s password- or PIN-protected computer.
4. Artificial intelligence (AI) tools
We use AI tools in two ways.
- For our own work: drafting emails, course materials and other content. We don’t enter your personal information into these tools for this purpose.
- For sessions: third-party AI or transcription tools may process a recording or transcript to transcribe it, summarise it or help with session notes. The tool we use may change over time.
When AI processes your session content, we:
- tell you at the point of consent, and only go ahead if you agree;
- share only what’s needed, and use business-grade settings where available, including checking that your content isn’t used to train the provider’s models;
- avoid using public AI tools for identifiable client information.
AI providers are usually based in the United States, so your information may be handled on servers outside Australia. You can decline AI processing at any time, and ask us to stop using it for your information.
5. Who we share information with
We share information only with the providers we need to run our services, and only what’s needed. These providers handle information under their own privacy policies.

Some of these providers are overseas, so your information may be stored or handled outside Australia. We take reasonable steps to choose providers with sound privacy and security practices. A current list is on our Third-Party Services page.
We may also share information where the law requires it, or where we reasonably believe it’s necessary to prevent a serious risk to someone’s life, health or safety.
6. Cookies, analytics and advertising
Our websites use cookies, pixels and similar tools. These include:
- Google Analytics, which shows us how people use our websites. It collects device and browser details, approximate location, and session information.
- The Meta Pixel, which helps us measure our Facebook and Instagram ads and show our ads to people who have visited our websites.
- Cookies and logs that keep our websites working and secure.
We don’t send your coaching notes, recordings, session content, form answers, or health, faith or other sensitive information to Meta or Google.
Our cookie banner lets you choose whether analytics and advertising tools run. You can also change your browser settings, or opt out of tracking and personalised ads:

Blocking cookies may affect how some parts of our websites work.
7. Emails and marketing
We send marketing emails only to people who have signed up or otherwise agreed. Every email has an unsubscribe link. Free resources such as the Purpose Clarity Guide can be read online without signing up. If you do choose to receive the weekly emails, you’ll get five emails and then they stop.
8. Leading From Your Strengths (LFYS) profiles
You buy your LFYS Profile directly from the provider, Ministry Insights, and complete the questionnaire on their site. Ministry Insights handles that information under its own privacy policy. We don’t receive your results unless you choose to share them with us, for example to talk them through in a coaching session. If you do, we treat them like other coaching information.
9. Testimonials
We use your words or name publicly only with your permission, shown exactly as you approved. You can withdraw that permission at any time by emailing admin@equipecoaching.com. We’ll stop using it in future, although we can’t recall anything already published or printed.
10. Keeping your information safe
- Session notes are kept in a locked filing cabinet and/or on OneDrive and a PIN-protected computer.
- Only Rick has access to coaching records.
- Our websites use HTTPS, and we use reputable providers with security protections of their own.
No online system is completely secure. If something happens that’s likely to cause you serious harm, we’ll tell you and the Office of the Australian Information Commissioner (OAIC) as the law requires.
11. How long we keep information

When we no longer need information, we delete it or remove anything that identifies you.
12. Your rights
You can ask to:
- see the personal information we hold about you;
- correct information that’s wrong or out of date;
- delete your information, which we’ll do where we’re able to (we may need to keep some records for tax or legal reasons);
- withdraw consent to marketing, recording, AI processing or training use.
Email admin@equipecoaching.com. We’ll reply within 30 days. If you’re not happy with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
13. Age
Our services are for people aged 18 or over. We don’t knowingly collect information from anyone under 18.
14. Visitors from outside Australia
Our services are mainly for people in Australia. If you use our services from another country, your information is handled as described in this policy and may also be subject to the laws of your country.
15. Links to other sites
Our websites may link to or embed content from other sites, such as videos and social media. Those sites have their own privacy practices, and we encourage you to read them.
16. Changes to this policy
We may update this policy. We’ll change the date at the top, and for significant changes we may email you.
